Letterhead Color Accuracy Word: Why Colors Shift and How to Stop It
Your brand color is a specific shade of navy. On screen it looks right. You print the letter and it comes out closer to royal blue. You export to PDF and the logo mark shifts slightly warmer. Nobody changed anything, so what happened?
This is a color pipeline problem, and it runs through at least three separate systems before ink hits paper: the image file your designer handed you, the way Word handles that file inside a header, and the behavior of your printer driver. Each system makes its own decisions about color. If you do not control the handoffs, the shade drifts.
This guide walks through exactly where the breaks happen and gives you four concrete steps to lock letterhead color accuracy in Word before the file reaches anyone's printer.
Why the Same Logo Looks Different on Screen, in Word, and on Paper
Your monitor emits light. Color on a screen is additive, red, green, and blue light mix to produce all other colors. A printer deposits pigment. Color on paper is subtractive, cyan, magenta, yellow, and black inks absorb light rather than emit it. These are fundamentally different physical processes, and they produce different color gamuts (the range of colors each system can reproduce).
A monitor can display vivid, saturated colors that no desktop printer can physically reproduce with ink. When a color falls outside what the printer can produce, the printer driver picks the closest available color. That substitution is where your navy becomes royal blue.
There is also the question of color profiles. A color profile is a small data file that describes how numbers in an image file map to actual colors. If the image has no embedded profile, or if the display and the export engine interpret the numbers using different profiles, you get a different result at each step. Word does not surface any of this to you. It simply renders what it is given.
RGB vs. CMYK: The Color Space Mismatch Word Never Warns You About
RGB and CMYK are color spaces, mathematical descriptions of color. Most screen images use RGB. Most commercial printing uses CMYK. Desktop printers accept RGB input and do the conversion internally, which means the printer driver, not you, controls that translation. The result depends entirely on which driver is installed and how it is configured.
Word itself works in RGB throughout. It does not convert images to CMYK, does not read CMYK values from files, and does not expose color-management settings in any meaningful way for most users. If your logo file is CMYK (common when a designer built it for commercial printing), Word will interpret those CMYK numbers as if they were RGB numbers. This is a direct misread. A CMYK value of C:90 M:60 Y:0 K:10 describes a cool dark blue in print, Word will treat those channel values as RGB components and produce a different color entirely.
The fix at this stage is to get an RGB version of your logo from your designer, with an embedded sRGB profile. sRGB is the standard for screen display and for most desktop and office printing. It is what Word expects, even though Word never says so.
How Word Handles Images in Headers (and Where Color Breaks)
The header zone in a Word document is where your letterhead artwork lives. When Word renders an image in a header, it hands that image to the Windows or macOS graphics subsystem, which applies display color management. When you export to PDF, Word's PDF engine processes the same image again, applying its own color conversion. When you print, the printer driver processes the output of Word's print engine. These are three separate rendering steps, and none of them are transparent to the user.
Compression compounds the problem. If your logo image is a JPEG embedded in the header, JPEG compression introduces color artifacts. A flat area of brand color that should be a solid, consistent value becomes slightly mottled at the pixel level. On screen this is invisible. Printed at 600 dpi, it can appear as a slight shift in perceived tone.
Resolution matters here too. A low-resolution PNG stretched to fill a wide header will look acceptable on a 96 dpi screen but will print softly, which changes how the eye reads the color. File Format Choices That Affect Color Fidelity in Word Headers
Not all image formats behave the same way inside a Word header. Here is how the common ones compare:
JPEG, Lossy compression. Every save cycle degrades the image slightly and can shift color values in flat areas. Acceptable for photographs; problematic for logo artwork with flat brand colors. Avoid JPEG for letterhead logos.
PNG, Lossless compression. Color values are preserved exactly as stored. Supports an embedded ICC color profile (though not all export tools include one). PNG is the right choice for most letterhead logos in Word.
SVG, Vector format. Word for Microsoft 365 can embed SVG files directly in a header. Because SVG stores shapes and colors as mathematical descriptions rather than pixels, it does not suffer from resolution or compression problems. Color accuracy still depends on how the colors are defined in the SVG file, but there is no compression artifact and no resolution limit. EMF/WMF, Windows metafile formats. Sometimes produced by design tools when copying vector art into Word. Color behavior is inconsistent across printer drivers. Not recommended for controlled color output.

Four Concrete Steps to Lock Color Accuracy in Your Word Letterhead
1. Get the right source file from your designer. Ask specifically for a PNG or SVG export of the logo in sRGB color space with an embedded ICC profile. If your designer delivers a CMYK file, ask for a re-export. This is a standard request and takes a few minutes on their end. Do not attempt to convert CMYK to RGB yourself using a screenshot or copy-paste, that throws away the profile information.
2. Do not resize the image inside Word. Dragging an image to a new size in a Word header forces Word to resample the image on the fly. The result is often a slightly different color appearance because the resizing algorithm blends pixels. Instead, export the image at the exact pixel dimensions you need for the header, then place it at 100% in Word. 3. Set your PDF export to the correct color output intent. When saving a Word document as PDF (File > Save As > PDF), click Options and look for "ISO 19005-1 compliant (PDF/A)" if you need archival output, or simply confirm that the output is not set to grayscale. Word's default PDF export usually preserves RGB values faithfully. What it does not do is embed a CMYK output profile for commercial printing. 4. Test on the actual printer before distributing the template. Print one page, let it dry, and compare it to a physical color reference (a printed brand guide, a Pantone swatch, or a previous professionally printed piece). Adjust the brightness of your source PNG slightly if there is a consistent shift, then re-test. A small correction at the source file level is more reliable than trying to adjust printer driver settings, which vary from machine to machine.
