Letterhead in Word Header: Why Placement Is a Mechanical Decision, Not a Style Choice
Where you place letterhead artwork in a Word document controls whether that artwork holds its position across every edit, every printer, and every person who opens the file. This is not a preference question. Word treats the header zone and the body zone as structurally different environments, and artwork behaves differently in each one. Put letterhead art in the wrong zone and you get drift, clipping, and broken templates. Put it in the right zone and those problems disappear permanently.

Header Zone vs. Body Zone: What Word Actually Does With Each
Word divides every page into three independent layers: the header region, the footer region, and the body. These are not cosmetic divisions. They are separate rendering contexts with different rules about positioning, pagination, and document flow.
Body zone: Content in the body flows. Every paragraph, image, and table participates in the document's reflow engine. When text is added or deleted, Word recalculates the position of everything below the insertion point. An image placed in the body with "in line with text" wrapping moves with that reflow. An image placed with floating wrapping (such as "behind text" or "in front of text") stores its position as an offset from either the page margin, a column, or a paragraph anchor. Paragraph anchors are the dangerous default: the image stays near the paragraph it was inserted next to, and when that paragraph moves, the image moves with it.
Header zone: The header is a separate story in Word's internal file structure. It does not participate in body reflow at all. An image placed in the header is anchored to the header's coordinate space, which is defined by the distance from the physical top edge of the page. Body text growing or shrinking has zero effect on header content. The header renders on every page governed by that section before Word even begins laying out body text.

Why Body-Placed Letterhead Breaks at Print Time
Most cases of letterhead art ending up in the body start the same way: someone opens a blank document, pastes or inserts the logo image at the top, and manually sets it to float behind the text. It looks correct on screen. Then one of three things happens.
First, someone types a long letter. The body text grows, and the floating image, which is anchored to an early paragraph, follows that paragraph down the page or gets stranded while text flows past it.
Second, the file is shared. Word recalculates layout on open, and the anchor paragraph has shifted slightly due to different default fonts, line spacing, or printer driver metrics on the receiving machine. The logo is now half an inch lower than it was.
Third, the document is printed. The printer driver's imageable area does not match what was assumed when the image was positioned. Because the image is in the body and positioned relative to a margin offset that was never precisely constrained, it clips at the top, overlaps the first line of text, or prints at a size that differs from the original.

The Three Print-Fidelity Problems That Only the Header Solves
1. Consistent top-edge registration
When artwork is in the header, Word measures its vertical position from the top physical edge of the page, not from the margin. That measurement is stored in the file and applied identically every time the document opens. Different machines, different printers, different users: same measurement, same position. Body-placed artwork has no equivalent guarantee because body coordinates are relative to text flow.
2. Correct size at print resolution
Header images print at their actual pixel dimensions divided by their embedded DPI setting. That calculation is stable. A body image set to float can be subtly resized by Word during reflow if the wrapping geometry changes, particularly when columns or section breaks are nearby. 3. Page-count independence
A one-page letter and a six-page letter should show the same letterhead on page one. In the header, this is automatic: the header renders on whatever pages are configured to display it, regardless of body content length. In the body, a floating image can disappear behind content, get pushed to a second page by a page break, or vanish entirely when the document is saved and reopened on a machine with a different default font size.
Margin Geometry: How Header Placement Keeps Artwork Anchored
The header's coordinate system starts at the top of the physical page. The "header from top" measurement in Word (found under Layout > Page Setup > Layout tab) sets the distance from the top edge of the paper to the top of the header region. Artwork placed inside the header is then positioned relative to that region's top-left corner.
This is what makes precise brand geometry possible. A logo designed to sit 0.25 inches from the top of the page and 0.5 inches from the left edge can be reproduced exactly by setting header-from-top to 0 and placing the image at those exact coordinates within the header frame. When the Header Alone Is Not Enough (Footer and Section Breaks)
Some letterheads include an address block or a rule line at the bottom of the page. That element belongs in the footer, not the body, for exactly the same reasons the logo belongs in the header. The footer is the bottom anchor of the same separate rendering context. It holds its position regardless of how many lines of body text appear above it.
Multi-page letters introduce a second mechanical requirement: section breaks. When a letterhead is designed to appear only on page one, with a different header (or no header) on continuation pages, Word needs explicit instructions.
