Free Word letterhead templates

Five letterhead designs built the way Word wants them: artwork and name in the header and footer, a slim continuation header with page numbers on page two, and a clean body for typing. Saved as real .dotx templates, in US Letter and A4. Leave an email and the file downloads.

Five Microsoft Word letterhead templates

Each one is a real Word template, not a picture of one: the name and address are text you double-click and edit, the rules are paragraph borders, and the fonts (Georgia and Arial) exist on every Windows and Mac copy of Word. Preview shows the design as a finished letter; the download carries a sample name for you to replace.

Law firm · .dotx

Law firm letterhead template

A rule-style masthead: firm name in tracked capitals, practice line beneath, office address set right, one weighted rule across the page. Page two carries a slim continuation header with the firm name and page number — the layout courts and opposing counsel expect on a multi-page letter.

  • First-page header, continuation header for pages 2+ with an automatic page number
  • US Letter and A4 versions, 1″ side margins, body set in Georgia 11pt
  • Sample demand letter in the body so the spacing is already right

Family office · .dotx

Family office letterhead template

A quiet monogram letterhead: boxed initials, the office name in a serif, the city tracked out in small capitals, no address block shouting at the top. Contact details sit in the footer where private correspondence keeps them.

  • Monogram mark, name and city on page one; initials and page number on continuation pages
  • Footer carries address, telephone and email in 8pt
  • Sample trust correspondence in the body

Nonprofit · .dotx

Nonprofit letterhead template

A left-aligned letterhead with a boxed mark, the organisation name and mission line, and the mailing address set right. The tagline slot is sized for the line every 501(c)(3) needs on a donor letter: your nonprofit status and EIN.

  • Boxed initials mark, name + mission line, address block right; continuation header for page two
  • Footer repeats the 501(c)(3) status line so it prints on every page of a receipt
  • Sample donor acknowledgement letter in the body

Small business · .dotx

Small business letterhead template

A centred classic: company name letter-spaced in a serif, an italic line for what you do or since when, a short centre rule and the address in one tracked line. Works for a shop, a studio, a practice or a family firm without looking like a form.

  • Centred name, tagline and contact line on page one; name and page number on page two
  • Rule and tagline colour set once in the header — change it and the whole letterhead follows
  • Sample customer letter in the body

Personal · .dotx

Personal letterhead template

Personal stationery for Word: a boxed monogram, your name in a serif and your city in small tracked capitals. Nothing else on the page — address and telephone wait in the footer. For the letters that should not look like they came from an office.

  • Monogram, name and city on page one; initials and page number on continuation pages
  • Footer with street address, telephone and email in 8pt
  • Sample personal letter in the body

How to use a .dotx letterhead template in Word

  1. Download the .dotx

Pick US Letter or A4. A .dotx is Word’s template format: double-clicking it opens a fresh, untitled document based on the letterhead, so the master is never overwritten by accident.

  2. Put your name on it

Double-click the header area at the top of page one, select the sample name, address and tagline, and type yours. The rule, spacing and page-two header follow automatically. Press Esc or double-click the body to get back to the letter.

  3. Save it where Word looks for templates

To edit the master itself, open Word first and use File → Open on the .dotx. Save As with the .dotx type into Documents\Custom Office Templates (Windows) or the Templates folder Word offers on Mac, and it appears under File → New → Personal.

  4. Type the letter

The body is a plain Normal style: Georgia 11pt, 1.15 line spacing, one-inch side margins. Replace the bracketed placeholders and the sample letter, and the letterhead stays put on every page.

Letterhead design in Word: what these templates get right

Most free Word letterheads fail in the same four places, and all five files here are built to avoid them.

  • The letterhead lives in the header and footer. Not in a text box floating over the body, not in a table at the top of page one. Word repeats headers and footers on every page by itself and keeps the cursor out of them, so nobody nudges the firm name while typing a letter.
  • Page two is different from page one. A full masthead on every page of a four-page letter looks like a fax. These templates turn on Word’s “different first page” and give pages 2+ a slim header with the name and an automatic page number — the same thing a printed continuation sheet does.
  • The fonts exist everywhere. Georgia and Arial ship with Word on Windows and Mac, so the file looks the same on the recipient’s machine as it did on yours. No substituted typeface, no reflowed address block.
  • US Letter and A4 are separate files. Changing paper size on an existing document reflows the header; a template built for each size does not. One-inch margins on both, so a letter paginates the same way on either.

For the rules behind these choices — header distance, margins, where the body should start — see letterhead format in Word and letterhead design in Word. For the difference between the two file types, .dotx vs .docx.

When a template is the wrong tool

If a designer has already produced your letterhead, every template on this page is a downgrade: the typeface they licensed, the exact mark, the foil or engraving detail cannot be rebuilt from a generic layout.

The right move is to convert the designed PDF to a Word template. Letterhead Lab crops the artwork into Word’s header and footer as full-resolution images, leaves the body clean, and never uploads the PDF — the conversion runs in your browser. Preview free; pay only to download.

Frequently asked questions

Are these Word letterhead templates really free?
Yes. Leave an email address and the download starts; we send the file links to that address too, along with a 10% code for converting your own designed letterhead later. No account, no card, and the same email unlocks every template on the page.
Why are the files .dotx rather than .docx?
A .dotx is a Word template. Double-clicking it creates a new untitled document from the letterhead instead of opening the master, so nobody on the team saves a finished letter over the shared template. If you prefer a .docx, open the .dotx in Word and Save As a Word Document.
Which versions of Word open them?
Word 2013 and later on Windows and Mac, Word for the web, and Word on iPad. They also open in LibreOffice Writer and Google Docs, though Google Docs flattens the first-page-different header into a single header.
Do they come in US Letter and A4?
Each template has a US Letter (8.5 × 11 in) and an A4 (210 × 297 mm) file with the same one-inch margins, so a letter typed on one paginates the same on the other.
Can I add my logo?
Yes. Double-click into the header, place the cursor where the initials mark or the name sits and use Insert → Pictures. For a sharp result use a PNG at least 600 pixels wide, or an SVG. If a designer has already produced your letterhead as a PDF, the converter will place that artwork into the header for you instead.
Why does the body start lower on page one than on page two?
The first-page header holds the full letterhead and pushes the body down beneath it; pages two onward use a slim continuation header with the name and page number, so the body starts at the one-inch margin. That is how a multi-page letter on printed letterhead behaves too.
I already have a designed letterhead PDF. Should I use a template?
No. Rebuilding a designer's layout from a generic template loses the typography and the mark you paid for. Convert the PDF instead: Letterhead Lab places the artwork into Word's header and footer at full resolution and leaves the body clean for typing. The conversion runs in your browser and the preview is free.

Use your own letterhead instead

Drop the PDF your designer gave you. The artwork goes into Word’s header and footer, pixel-perfect; the body stays clean. Free preview — the PDF never leaves your browser.
